Planning any event can be stressful, overwhelming and you might not know where to start. Here are a few tips to get you started. 

Event Coordinator 

Hiring an event coordinator can take your event from stressful and overwhelming to a breeze of an experience. An event coordinator can provide you with a complete schedule for the event date, schedule delivery times and details with vendors, and provide excellent service for your every need. The responsibility of the event coordinator is to ensure your event planning is executed to your specific wishes and every detail is successfully implemented.

Vision Board 

Start with a vision board and Pinterest is a great way to put together one together for your special event. Do you have ideas of what you want your event to look like? What elements are most important to you? Pictures of these specific essentials of your vision will help your event coordinator be sure that your vision is carried throughout the event. Once the event coordinator sets your final quote together, request a storyboard and layout to ensure your event completes your vision. 


One of the most important aspects of planning your special event is coming up with a realistic budget. Working with a specific budget, your event coordinator is able to plan each detail of the event and stick to your expectations. Depending on your needs, your event coordinator will take into consideration venue, catering, entertainment and other rental items to show exactly what the tablespaces will look like. 

Indoor or Outdoor Venue 

When choosing an indoor or outdoor venue for your special event many questions arise for the requirements of your special event. 

  • Location: Is your location nearby your guests? Are many of your guests visiting from out of town? If so, take into consideration hotel options in the vicinity of the venue. 
  • Capacity: Check to ensure your guest list can be accommodated by the venue. Is there a minimum requirement for the venue? 
  • Parking: Is there applicable parking available for your guest list? Will the guests need to park in parking garages? Is there enough handicapped parking? Do you need to arrange for transportation for your guests to get to the venue and safely return home? Is valet available? 
  • Amenities: Does the venue provide tables, chairs and linens? Do they have AV available for your use? Do they do the set up and tear down of items used at event? Do they provide cleanup of the venue? Is the kitchen available for caterer’s use? Do they have a required vendor list? 
  • Safety: Do you need to hire security for the event? Do you need to provide liability insurance? 
  • Flexibility: Is there specific times you are able to use the space?
